The renewal email arrives before the bill does. Intuit emails the updated renewal list price 30 days before your billing date. The 2026 price change took effect on August 1, 2026, and the updated list prices appeared on the website on August 3, 2026. A U.S. subscriber sees the change at the first billing date that falls on or after August 1, 2026. If you are on QuickBooks Online Advanced, the list price rises 70%, from $200 to $340 per month. The new number makes a routine renewal an operating-cost decision.

The trap is treating list price as invoice price. Promotions can remain until expiration, newer subscribers can get six months of price protection, and reseller or annual pricing can be below list. Start the worksheet with the quoted amount, not the headline rate.

The renewal email is the deadline, not the bill

Use the email as the start of a worksheet: stay, downgrade, switch. The worksheet should compare net monthly cost, not list price. It should include bundled features, payroll offset, migration labor, and validation hours. Done looks like a page with columns and a recommendation you can defend in a founder meeting.

Run the worksheet in the order you pay

  • Open the renewal email and write down the quoted monthly amount, not the list price. Done looks like a number for the next invoice, plus the date it is due.
  • Calculate the annual cost of staying at the new list price. The new $340 monthly list price makes QuickBooks Online Advanced cost $4,080 per year. You are done when you have a yearly number you can compare against payroll, software, and bookkeeping costs.
  • Subtract the value of what is already bundled. QuickBooks Online Advanced includes Bill Pay Elite at no extra cost; Intuit values it at $540 per year, so Advanced customers skip a separate Bill Pay subscription. The step is complete when the net cost for staying reflects a payment feature you would otherwise buy separately.
  • Price the downgrade path. QuickBooks Online Essentials list price increases from $60 to $85 per month in the August 2026 price change, and Intuit’s example shows Bill Pay Elite at $45 per month. Finish with a monthly total for the lower plan plus any add-ons you would actually use.
  • Price the middle path. QuickBooks Online Plus list price rises 41%, from $99 to $140 per month, in the August 1, 2026 price change. The output is a comparison of whether the extra features justify the extra monthly cost.
  • Price the switch path. QuickBooks Online customers can switch plans or cancel at any time. You are done when you have a migration estimate that includes data export, chart-of-accounts cleanup, payroll re-entry, and a validation period.
  • Add the hidden labor. Put a dollar value on the hours you would spend validating reports, re-running payroll, and answering “where did this go?” questions. Finish with a migration cost and a monthly validation cost, not a vague “it will take time.”

If you are on ProAdvisor Preferred Pricing, the direct discount lasts 12 months, then the invoice moves to the current monthly list price. That changes the stay column, because the next invoice may not match the list price until the discount ends.

Downgrade only when the lower plan covers the workflow

Stay on Advanced when the bundled features remove a real line item. If you already pay for bill pay, payroll, or a bookkeeper who relies on Advanced reporting, the net cost may be lower than the list price. Downgrade when the lower plan covers your actual workflow and the saved monthly amount exceeds the cost of re-learning the system. Switch when the saved amount still covers the migration work after you add validation hours. The renewal decision is easier when the labor is written down. If validation costs more than the saved amount, the lower plan may not be cheaper.

Put the worksheet beside the renewal email and make the call before the billing date. The numbers are easier to defend than a gut feeling about software.
